Privacy Policy
Last updated: 20 October 2026
This policy explains what the Pip Discord bot and its website (“Pip”, “we”) collect, why, how long we keep it, and how to have it deleted. Pip is operated by Clutch, France. Contact: support@getpipbot.com.
What Pip receives from Discord
When Pip is added to a server, Discord sends it information about that server: its channels, roles, members and the messages posted where Pip can read. Pip uses two kinds of access Discord calls privileged:
- Server members: to post welcome and goodbye messages and give roles to new members.
- Message content: to check messages against a server's blocked-words filter and anti-spam rule and a server's auto-responder triggers, to read the answers someone sends Pip in DMs while filling out an application, and to create ticket transcripts. Messages are checked as they arrive and are not stored, except as described below.
What Pip stores
- Server settings chosen by the server's admins (channels, roles, messages, filters, ticket panels, application forms, branding), identified by Discord IDs.
- Warnings given by moderators: the member's user ID, the reason, the moderator's user ID and the time.
- Tickets: for open tickets, who opened it, its topic and which staff member handles it. For staff statistics, a record of ticket events (user ID, type of event, time), the most recent 10,000 per server. When a ticket is closed, Pip turns its messages into a transcript and posts it to the server's chosen channel and to the member who opened it; Pip does not keep a copy.
- Applications: the answers someone submits, with their user ID, until 180 days after staff accept or deny it.
- Welcome card backgrounds uploaded by a server's admins. Member avatars are only used to draw the card and aren't stored.
- Polls: which answer(s) each member picked (their user ID), so votes can be counted and changed.
- Giveaways: the user IDs of members who joined and of the winners.
- Embedded messages posted with Pip: their content and who created them, so they can be edited later (the newest 100 per server). Pictures a server's admins upload for embeds on the dashboard are stored and shown at a web address on Pip's website so Discord can display them (up to 200 per server).
- Suggestions: the idea, who posted it, the user IDs of who voted 👍 or 👎, and the staff decision with its reason (the newest 1,000 per server).
- Bug reports: the report's text, who filed it, the user IDs of members who pressed
“I have this too”, and the staff status and note (the newest 1,000 per server). Pictures and videos added to a
report are posted to the server's own channel and not kept by Pip. Reports about the bot itself (
/bug bot) are sent to Pip's team with your username, user ID and your server's name. - Ticket ratings: the star rating, counted for the staff member who handled the ticket. The optional comment is posted to the server's transcript channel and not kept by Pip. While a rating request is open (up to 7 days), Pip remembers who it was sent to.
- Auto-responders: the triggers and replies a server's admins set up. Pip reads messages to check them against the triggers but doesn't store them.
- Temporary voice channels: while a channel exists, its ID and its owner's user ID.
- Servers using Pip: when Pip is added to or removed from a server, the server's name, ID and size and its owner's username and ID are posted to a private channel of Pip's team. In Pip's own community server, owners of servers that use Pip, and Premium subscribers, get a role that is removed again when that stops being true. When Pip is added to a server, its owner gets one welcome message by DM.
- Command log: if a server turns it on, each command used (who ran it, where and with which options) is posted to a channel in that server. Pip doesn't keep a copy.
- Sticky messages: their text, the channel, who set them and the ID of the copy currently at the bottom, so it can be replaced.
- Live alerts: the streamer accounts a server follows (their public Twitch, YouTube or Kick channel), and the ID of the current live stream and latest video so each is announced once. Pip checks those public channels every few minutes.
- Levels & XP: if a server turns levels on, each member's XP and the time of their last message that earned XP (not the message itself). Pip counts time in voice channels without storing it.
- Live now role: if a server uses it, Pip sees which members Discord shows as streaming, to give them a role while they're live, and remembers when it last posted each member's stream (once every 6 hours at most).
- Stream schedule: the weekly streams a server lists, its settings, and which reminders and events were already made.
- Clips and starboard: clips are only read where they were posted; Pip stores nothing about them except which week's clip of the week was announced. A starred message is copied into the server's starboard channel, and Pip keeps which message it copied (the newest 2,000 per server).
- Raid protection: join times are only kept in memory for a minute or so to notice a raid; nothing is stored.
- Ranch panels: if a server connects its RedM game server, Pip keeps, for each ranch with a
panel, the ranch's name, money, milk and eggs, its owner's Discord ID, the in-game character names and IDs of
its staff, and how much milking, egg collecting and herd selling each did since they were last paid. Paying staff
with
/ranch paiddeletes their counts. A hashed copy of the server's connection key is kept. - Verification: nothing is stored about members who verify. A picture code is kept in memory for at most 5 minutes while someone types it. If a server turns on its verification log, the result (and the account's creation date) is posted to that server's own channel, not kept by Pip.
- Dashboard sign-in: when you sign in with Discord, Pip receives your user ID, username and avatar (Discord's “identify” permission only). They're kept in memory for your session (up to 7 days), with a cookie in your browser that keeps you signed in.
- Reviews of Pip: if you write one on the dashboard, Pip stores your rating, your text, the server name you chose to show (if any), and your Discord user ID, name and avatar. Pip's team sees it in a private channel, and once they approve it, your name, avatar, rating, text and that server name are shown on this website. You can change or remove your review on the dashboard at any time.
- Premium: payments are handled by our payment provider. Pip stores only the provider's customer and subscription IDs for the server, never card details.
- Custom bots: if a server links its own bot, Pip stores that bot's token encrypted, only to run it.
What Pip does not do
- It doesn't sell, rent or share your data, except with the service providers needed to run Pip (our server host and our payment provider), or when the law requires it.
- It doesn't use your data for advertising, and doesn't use message content to train AI models.
- It doesn't read or store messages in servers it isn't in, or private messages other than those sent to Pip.
How long data is kept
- A server's data, including pictures uploaded for its embeds, is deleted 30 days after Pip (and that server's custom bot, if any) is removed from it, unless the server still has an active Premium subscription.
- Decided applications are deleted 180 days after the decision.
- Polls and giveaways, with their votes and entries, are deleted 30 days after they end.
- Ticket statistics keep the most recent 10,000 events per server.
- Daily backups of Pip's data are kept for 14 days.
Your choices and rights
Server admins can change or remove their server's settings at any time on the dashboard or with Pip's commands, and removing Pip deletes the server's data as described above. To get a copy of the data Pip stores about you, or to have it deleted, email support@getpipbot.com with your Discord user ID. We'll respond within 30 days. Depending on where you live, you may have further rights under data protection laws.
Children
Pip is for people who meet Discord's minimum age in their country. We don't knowingly collect data from anyone younger.
Changes
If this policy changes, we'll update the date above. Important changes will be announced on this website.
